Booking terms

Our booking terms and conditions

Please read through our booking terms below. If there is anything you need clarified before booking onto an event, please have a read through our FAQs or contact us and we will be delighted to discuss.


Booking process


All bookings must be made through our booking form. A separate booking form is required to be completed for each person participating in an event.

Emails sent to you may be formatted in HTML and include files in PDF format (eg gear checklists and invoices) - please ensure your email filter allows this.



Payment


Upon completing an event booking form, you will be asked to select a payment method, either by card or online bank transfer.

Pay by card : you will be directed to a secure payment gateway to pay a £50 non-refundable booking deposit.

Pay by online bank transfer : we will reserve a place for you on the event and send you a confirmation email and invoice. Your place will then be held for 7 days and within this time we ask you to pay a £50 non-refundable booking deposit. If you do not pay the deposit within this period, we will assume you have decided not to participate in the event and we will cancel your booking.

Your balance is to be paid at least 28 days prior to the start of the event you have booked onto. We will send a request for payment around a month prior to the event start date. If you have booked onto an event which starts in less than 28 days, we will send out a request for payment as soon as we have received a deposit. If you do not pay the balance, you may lose your place and deposit.



The information you provide


The information you provide is required for our insurance purposes and to pass onto your guide. We will not disclose the information to any other party or use the information for any other purpose.

Cancellation procedure


If you choose to cancel your booking :

Booking cancellations must be made in writing.
  • If you cancel more than 28 days before an event takes place, your payment will be refunded minus the £50 booking deposit.
  • If you cancel 28 days or less before an event takes place, no payment will be returned.
We do not offer credit towards future events or transfer to another event in place of a refund.

We strongly recommend you take out appropriate holiday insurance to cover for unforseen events that may cause you cancel your booking.

If we have to cancel your booking :

Regardless of reason, in the very unlikely event that we have to cancel your booking, then we will refund your payment in full. If we have to cancel part of an event, we will charge only for the days that go ahead and refund the difference between this and the full cost of the event.

We will try and give as much notice as possible. For weather related cancellations, notice could be as short as a couple of days. For other reasons, we would hope to give a fortnights notice, possibly more. More information regarding weather is on our FAQs page.

We cannot be held liable for additional costs you may have incurred (eg accommodation, transport).



Booking onto part of a multi-day event


If you are booking onto a multi-day event with the intention of joining for just part of the event, we can usually accommodate this. Let us know about this on the booking form under the section entitled "Any notes to add to your booking ?".

Weather conditions may force us to change the order of days on an event, therefore we cannot guarantee the itinerary of an event will follow that specified on the event webpage. If you are booking onto part of a multi-day event with the aim of completing a particular route or bagging specific peaks, you need to have flexibility on days. We don't offer a discount for booking onto part of a multi-day event.



Gear needed


You will need your general hillwalking gear appropriate to the time of year and conditions (see our Mountain hiking and scrambling gear page for more information). Should you turn up without the appropriate gear, your guide may refuse to take you onto the hills and you will not be refunded. If you wish to borrow some equipment, let us know in advance, as we do have an extensive list of gear to hire or lend.



Fitness and experience


A level of fitness and experience appropriate for the activity you are taking part in will be required. This will vary depending on the type of event and will be posted on the event page. We do ask you for an outline of recent relevant experience and current fitness on our booking form. This is used to help us plan the event you are booking onto and try to ensure people within the group are of a similar level. You must also let us know if you have any injuries, medical conditions or are taking any medication. An outline of our event grades, along with suggested minimum levels of fitness and experience, can be found on our How we grade our events page.

It is your responsibility to ensure you have the required level of experience and appropriate level of fitness for the event you are booking on. If this turns out not to be the case, then for safety reasons, your guide may ask you not to take further part in the event and any fees paid will not be refunded. Anyone believed to be under the influence of drugs or alcohol, acting in an abusive matter or ignoring advice given by their guide will also be required to leave.

Image rights


We want you to have a great experience and take away wonderful memories. To help this, your guide and other participants may take photos on events and share them on social media channels. We also aim to set up Whatsapp chat groups for most events and any photos posted within these event groups may be shared on social media. If you would prefer not to have your photo taken, or any of your images used, please let us know when completing a booking form.

Copyright of any images shared will always remain the property of the owner and we will credit image owners on any social media posts they are used. For more information on image rights see Flickr Creative Commons.



Risk


Please note that although you will be guided by a mountain leader or mountain guide with appropriate qualifications, hillwalking can involve a risk of injury. You need to accept an element of risk exists and you may feel the need for appropriate insurance - the MCofS have policies through the BMC. Your leader will assess the group and weather conditions and, to ensure safety, may make appropriate changes on the event if required. This may involve a change of venue, curtailing a walk in poor weather, or extending your day if conditions and group fitness allow.

Should you not heed the advice of your guide or leader during the event then you will forfeit all professional protection and duty of care and you may be asked to leave the event without a refund of fees paid.



Information on website


The information on the event pages on our website is for guidance only. The route plans are tried-and-tested and have evolved over many years of experience. However, the timings and specifics are based on having a reasonably fit group of hillwalkers completing the route in fine weather conditions.

We also make every effort to ensure the route information is correct, but cannot be held responsible for any inaccuracies, access issues or subsequent alterations of itineraries which are beyond our control. We reserve the right to withdraw or modify at any time arrangements advertised.
